Packing slip: what is in the shipment
Record the actual contents and quantities of one dispatch. Prices are often unnecessary for warehouse and receiving checks. A shipment may contain only part of the original order, so do not copy the ordered quantity into the shipped quantity without checking.
Invoice: what is billed
The invoice records prices, charges and payment terms. A payment receipt separately acknowledges money received. Neither a charge nor a payment establishes that all goods have arrived. Link shipment numbers to the sale so billing and fulfillment can be reviewed together.
Delivery note and proof of delivery: what was received
A delivery note accompanies or describes a delivery and can include a recipient acknowledgment. Record actual received quantities, discrepancies and the date. A packed-and-checked signature belongs to the sender’s preparation process; it is not the recipient’s acknowledgment.
Carrier proof of delivery is a separate record. Consult the carrier’s tracking service for available confirmation rather than treating the packing slip as delivery evidence.
Check additional documents for international shipments
FedEx notes that some destinations require a packing list alongside a commercial invoice. Confirm the requirements for the goods and destination with the carrier before dispatch. The sample Singapore address does not establish compliance for another shipment.
