Shipment Dispatch Checklist: Cartons, Weight & Handover

Before releasing a shipment, reconcile the order, packed items and physical packages. A clear dispatch record connects the warehouse check to carrier handover and later delivery evidence.

Check picked goods against the order

Verify each SKU, variant and unit against the approved order. Count packed quantities rather than assuming the pick list was fulfilled. Keep substitutions and shortages explicit.

  • Confirm the ship-to name, address and contact.
  • Count each size or variant and record any shortage.
  • Assign package identifiers and note each package’s contents.
  • Reconcile item-row cartons with the physical package total.

Reconcile the package count

The supplied preview has 1 + 2 = 3 cartons in its item rows but 4 cartons in the shipping summary. It gives no contents for the fourth carton. Check the physical shipment, then correct the summary or add the missing carton mapping. If multiple item rows share a carton, count unique packages rather than adding the rows blindly.

Record weight with its meaning and unit

The preview shows 24 kg without distinguishing net goods weight from gross packed weight. In your document, label the figure precisely and record actual measurements where needed. Carrier billing may use dimensional weight; a packing slip’s weight is not a quote for transport charges.

Record carrier handover and follow up

Confirm the actual tracking reference and save collection or acceptance evidence. Record the handover date independently of the expected delivery date. Monitor carrier exceptions and keep available proof of delivery with the shipment record.

50 trousers: check the quantities and cartons

The Singapore apparel preview references order LA-SO-1204 and shipment LA-SH-0877. Its listed delivery date, 20 October 2026, is sample data. The M and L quantities below expand the preview’s combined 20 + 20 row.

The fourth carton is unexplained. Reconcile the actual package count and contents before copying this format. The packed-and-checked signature, carrier service, tracking reference and QR code are sample details; they do not verify a real delivery.

Carrier references

Official carrier guidance checked on 11 October 2026. Apply the requirements and services relevant to your own shipment.

UPS: Understanding tracking status

UPS distinguishes label creation from carrier possession, transit and delivery. Check the carrier record before reporting a handover or arrival.

FedEx: Do I need a packing list?

FedEx explains that destination requirements can include both a packing list and a commercial invoice. A packing list helps identify contents for clearance.

FedEx: Accessing proof of delivery

FedEx provides access to proof of delivery through tracking for received and signed-for Express or Ground shipments. Availability depends on the shipment record.

Shipment questions answered

What should a shipment document include?

Include a unique shipment number, order reference, sender, recipient and delivery address, dispatch date, item descriptions, SKUs or variants, quantities and units. Add carton identifiers, total packages, weight with units, carrier and tracking reference where available. Label an expected delivery date as estimated.

Why does the sample show three cartons in rows but four packages?

The two item rows show one carton plus two cartons, while the shipping details show four cartons. The preview does not explain the extra carton. Before dispatch, reconcile the physical package count and carton contents; correct the total or document the additional package rather than copying inconsistent numbers.

Does a tracking number mean a shipment has been collected?

A tracking number can be assigned before a carrier receives the package. Check the actual carrier status or handover evidence before marking the shipment dispatched. Label created, in transit and delivered represent different events.

Does a packed-and-checked signature prove delivery?

A packing check records a warehouse review before dispatch. It does not confirm customer receipt. Keep carrier handover, delivery status and available proof of delivery as separate records.
