A practical workflow to verify

  1. 01

    Define the locations

Use consistent names and decide how each store or warehouse maps to the app.

  2. 02

    Reconcile the movement

Track dispatched and received quantities independently and resolve transit differences.

  3. 03

    Review local availability

A company-wide total does not prove an item is available at the required site.

B before receipt20 units

B after receipt of all units35 units

Before receipt, 65 + 20 + 15 = 100 units. After receipt, 65 + 35 = 100. Do not count the 15 units as available at both sites simultaneously.

How multi-warehouse inventory management works

Once stock sits in more than one place — two shops, a shop and a godown, or several warehouses — the question changes from "how much do we have?" to "how much do we have, and where?". Multi-warehouse inventory management keeps a separate stock balance per location while giving you one combined view.

Stock per location, not just in total

In a multi-location system every product has a quantity at each warehouse or store. Sales, deliveries and adjustments are recorded against a specific location, so you always know whether an item is actually available where the customer or order is.

Stock transfers between warehouses

Moving stock between locations should be a transfer, not a sale at one place and a manual addition at another. A proper transfer has three stages:

  • Created — the sending location records what is leaving
  • In transit — the stock belongs to neither shelf, but is still counted in your total
  • Received — the receiving location confirms quantities and flags any shortage

Reorder points per location

Each location sells at its own pace, so it needs its own reorder point. Before buying from a supplier, check whether another location has surplus stock you can transfer — it is usually faster and cheaper than a new purchase order.

Counting stock across locations

Run cycle counts per location on a schedule rather than closing everything for one big stocktake. Compare counted quantities with system quantities per location; differences that keep appearing in one place usually point to a process problem there, such as unrecorded transfers or returns.

What to look for in multi-warehouse software

Use these as evaluation criteria and confirm the capabilities your workflow requires with the provider before committing.

  • A combined stock view plus a per-location breakdown
  • Transfers with in-transit status and receiving confirmation
  • Location-level reorder points and low-stock alerts
  • User access limited by location
  • Reports for stock value and movement by location
  • Barcode scanning for receiving, picking and counts
