Getting Started

Where should you start?

Separate on-hand, committed and available stock. Agree who confirms an order, who releases the goods and who records receipt. A shared total is useful only when every stockholding point records movements consistently.

Use Cases

Everyday stock questions, worked through

Illustrative scenarios to adapt to your own products, locations and team.

How do I avoid selling the same item in-store and by message?

Check availability before accepting the order. Record the commitment in one shared order log with a reference, and release it if the order is cancelled. Verify any automatic reservation behavior before relying on it.

Worked example: There are 10 units on the shelf, with 3 committed to confirmed orders. Only 7 can be promised to new customers.

How should a warehouse replenish a separate shop?

Link dispatch and receipt with one transfer reference. Keep goods in transit separate from goods ready to sell at the destination, and resolve any difference at receipt.

Worked example: An illustrative Apapa warehouse sends 24 units to an Ikeja shop. The shop receives 23. Investigate the missing unit against the dispatch count instead of silently changing the transfer.

What if a supplier delivery arrives short?

Count the actual delivery before accepting it, separate damaged units and retain the outstanding order quantity. Give the supplier a documented discrepancy to resolve.

Worked example: Of 100 ordered units, 90 arrive and 4 are damaged. There are 86 saleable units, 4 to resolve and 10 still undelivered.

Setup Checklist

A practical setup checklist

  1. Step 1

    Map stockholding points

List the shop, stockroom and dispatch point with names staff can distinguish.

  2. Step 2

    Agree the order handoff

Define when stock becomes committed and who releases uncollected orders.

  3. Step 3

    Reconcile transfers

Match dispatches to destination receipts and follow up open movements daily.

  4. Step 4

    Review unmet orders

Separate stock shortages from late dispatches so the action addresses the actual problem.

My Inventory Items: product fit and market context

My Inventory Items is web-based inventory and billing software with product stock, purchasing, order, invoice, shipment and payment receipt workflows. Low- and middle-income countries · 2024

Measures adults making an in-store or online digital merchant payment. It is not the share of all transactions or an India-only figure.

Operational takeaway: Keep the payment method and actual transaction reference with each receipt.

Counts reported pilot countries, not completed deployments. The end-of-2027 goal is an industry ambition, not a universal legal deadline.

Operational takeaway: Test both scanner decoding and product lookup before depending on a barcode at checkout.

Questions before you choose

Should my stockroom be a separate location?

Use separate locations when staff need to know where to pick an item or different people control each area. For one small room, a simpler setup may be easier to maintain. Test the transfer workload before deciding.

How do I handle customer pickups?

Record an order reference, quantity, collection deadline and responsible staff member. Keep committed units out of general availability. Record collection once and release uncollected orders under an agreed policy.

Does this page promise a Lagos office or delivery service?

No. The locations illustrate how a business might organize its own inventory. Contact the team to confirm the support and implementation options available; local delivery or an in-person visit is not implied.

What should the closing stock routine include?

Check uncollected orders, transfers not yet received, supplier shortages and corrections. Match sales to stock deductions before using the closing quantity to accept the next day's orders.

What should I test before choosing a plan?

Use a small sample of your own products. Record a delivery, sale, return and stock correction, then reconcile the closing balance. Ask which plan includes the users, locations, imports and reports you need. Check current pricing and confirm essential workflows with the team before committing.

What happens if my internet connection drops?

Test connection loss on the devices your staff will use. Do not assume offline entry or automatic syncing is available. Keep a numbered record of movements during an outage, appoint one person to enter them when access returns, and reconcile the entries to avoid duplicates.

Can I use NGN prices and my existing invoice format?

Ask the team to demonstrate NGN display, rounding and your required invoice fields using a sample document. Currency display alone does not confirm that every invoicing requirement is met. Verify the actual output before replacing your current process.

Will it connect to my checkout or online store?

Confirm your exact checkout, store platform and required integration with the team. Test a sale, cancellation and return end to end. Until a connection is verified, decide who records each order and when so items are not sold or deducted twice.
