A practical workflow to verify

  1. 01

    Establish opening stock

Count products by SKU and unit; record a reliable starting quantity.

  2. 02

    Record movements once

Link receipts, sales and adjustments to the right product and document.

  3. 03

    Investigate variances

Compare a physical count with the expected balance and record the cause.

Reconcile a stock count: inputs and results
Opening quantity120 units
Goods received+40 units
Units sold−35 units
Damaged stock adjustment−3 units
Expected closing quantity122 units
Physical count120 units
Unexplained variance−2 units

120 + 40 − 35 − 3 = 122 expected units. Investigate the two-unit shortage before posting a correction; a count variance is not automatically theft.

Stock management: the essentials

Stock management is the day-to-day control of the goods you hold: recording what comes in and goes out, keeping enough to meet demand, and avoiding money tied up in stock that does not sell.

Stock management vs inventory management

The terms are often used interchangeably. Stock management usually means the physical goods ready to sell and their quantities; inventory management is broader and also covers raw materials, purchasing, costing and planning. A stock management system handles the movements: receipts, sales, transfers, returns and adjustments.

Core stock management methods

  • FIFO — sell the oldest stock first to avoid ageing and expiry
  • Reorder points — reorder when stock falls to a set level
  • Safety stock — a buffer for demand spikes and late deliveries
  • ABC analysis — focus control on the items that matter most
  • Cycle counting — count a few items often instead of everything once a year

Stock adjustments and audit trail

Every change that is not a purchase or sale — damage, theft, expiry, counting correction — should be recorded as an adjustment with a reason and the person who made it. That history is what lets you find and fix the cause of stock differences.

Valuing your stock

Stock value = quantity × unit cost. When purchase prices change, the cost used depends on your method: FIFO, weighted average cost or, where allowed, LIFO. Use the same method consistently for reporting.

Stock Management Software & System for Businesses: questions answered

What is stock management software?

Stock management software records the quantities a business holds and the movements that change them. My Inventory Items provides product stock records, opening and remaining quantities, reorder levels and stock adjustments, alongside orders and billing documents.

How do I calculate closing stock quantity?

For a simple period: opening quantity plus receipts minus sales minus write-offs, adjusted for returns and transfers. Use the same SKU and unit throughout and record each movement once.

Is FIFO a stock rotation method or a costing method?

FIFO can describe physical picking order or an accounting cost-flow method. They are separate choices. The stock valuation calculator compares costing scenarios; confirm the costing and picking workflows supported in your app before assuming they are automated.

Is My Inventory Items available on a free plan?

Yes. The current Free plan includes one store and 5 documents per day, with all document types and PDF download and print. Email sharing, thermal printing and barcode labels are paid-plan features. See pricing for current terms.

How much do paid plans cost?

The current Starter plan is INR 299 or USD 4 per month and includes two stores and 25 documents per day. Pro and Business offer higher limits. Use the pricing page to compare currencies, limits and included features.
