Getting Started

Where should you start?

Choose around your stock movements, not the length of a feature list. Your team should be able to reconcile opening stock, receipts, sales, returns and adjustments by product and location. Test those movements with your own items before moving the whole business.

Use Cases

Everyday stock questions, worked through

Illustrative scenarios to adapt to your own products, locations and team.

When should I reorder a fast seller?

Use average daily demand, supplier lead time and a buffer for variation. Review the trigger when demand or delivery time changes. Check outstanding purchase orders before ordering again.

Worked example: 8 units per day x 5 days to receive stock + 15 buffer units = a reorder point of 55 units. This planning example assumes steady demand; it does not guarantee that stockouts cannot occur.

Am I buying stock another branch already has?

Check available quantities by location before purchasing. A transfer may cover the gap, provided it does not leave the sending branch short. Exclude damaged stock and quantities committed to customers.

Worked example: Branch A needs 12 units. Branch B has 20 available but needs 10 for its own demand. Only 10 are spare, so transferring all 12 would create another shortage.

Why does the system disagree with the shelf?

Start at the last confirmed count and check every receipt, sale, return, transfer and damage record. Recount before adjusting, then document the reason and responsible person.

Worked example: Opening 40 + received 25 - sold 18 - damaged 2 = 45 units. A physical count of 43 leaves a two-unit difference to investigate.

Setup Checklist

A practical setup checklist

  1. Step 1

    Pick one pilot location

Choose a manageable product group and name the person responsible for daily reconciliation.

  2. Step 2

    Clean product identities

Assign each sellable variant a unique SKU, unit, cost, price and location.

  3. Step 3

    Count opening stock

Set a cutoff time and separate damaged goods from saleable quantities.

  4. Step 4

    Review the first week

Match movements to receipts and dispatch records. Resolve repeat errors before expanding.

42%

of adults in low- and middle-income countries made a digital merchant payment in 2024

Low- and middle-income countries · 2024

Measures adults making an in-store or online digital merchant payment. It is not the share of all transactions or an India-only figure.

Operational takeaway: Keep the payment method and actual transaction reference with each receipt.

Counts reported pilot countries, not completed deployments. The end-of-2027 goal is an industry ambition, not a universal legal deadline.

Operational takeaway: Test both scanner decoding and product lookup before depending on a barcode at checkout.

Questions before you choose

Is a spreadsheet enough for a small shop?

It can be when one person maintains it and movements are easy to reconcile. A shared system becomes more useful when simultaneous updates, multiple locations or missed entries make the balance unreliable. Choose a process the team can consistently maintain.

What information do I need for each item?

Start with a unique SKU, clear name, variant, unit of measure, location, opening quantity, cost and selling price. Add supplier references and reorder levels where useful. Never mix pieces and cartons without a defined conversion.

What should an owner review each week?

Review items below reorder level, unexplained adjustments, overdue deliveries and stock with little recent movement. Look at quantities by location as well as the total: a large overall balance can hide an empty shelf at a busy branch.

Will software fix inaccurate opening quantities?

No. Incorrect starting balances carry forward. Perform a physical count, resolve duplicate products and agree the opening balance before relying on availability reports or alerts.

What should I test before choosing a plan?

Use a small sample of your own products. Record a delivery, sale, return and stock correction, then reconcile the closing balance. Ask which plan includes the users, locations, imports and reports you need. Check current pricing and confirm essential workflows with the team before committing.

What happens if my internet connection drops?

Test connection loss on the devices your staff will use. Do not assume offline entry or automatic syncing is available. Keep a numbered record of movements during an outage, appoint one person to enter them when access returns, and reconcile the entries to avoid duplicates.

Can I use NGN prices and my existing invoice format?

Ask the team to demonstrate NGN display, rounding and your required invoice fields using a sample document. Currency display alone does not confirm that every invoicing requirement is met. Verify the actual output before replacing your current process.

Will it connect to my checkout or online store?

Confirm your exact checkout, store platform and required integration with the team. Test a sale, cancellation and return end to end. Until a connection is verified, decide who records each order and when so items are not sold or deducted twice.
