Getting Started

Where should you start?

Excel can work for a small catalog with a clear owner and disciplined updates. Consider software when multiple people, locations or order sources make movements difficult to reconcile. Base the decision on a real workflow test, not an assumption that software automatically makes data accurate.

Use Cases

Everyday stock questions, worked through

Illustrative scenarios to adapt to your own products, locations and team.

When is staying with Excel reasonable?

Stay when one person owns a controlled file and physical counts reconcile. Protect formulas, maintain a movement log and make backups part of the routine.

Worked example: A small stockroom with one custodian and a few issues a day may benefit more from a cleaner movement sheet than an immediate migration.

What is a practical signal that we should switch?

Track time lost to conflicting versions, missing entries and promises that cannot be fulfilled. Repeated errors despite a clear process matter more than catalog size alone.

Worked example: Two branches see 5 units in yesterday's file and each promise 4. A current shared record and an agreed commitment process can prevent that 3-unit shortfall.

How do I avoid migrating old mistakes?

Resolve duplicates, agree units and count opening stock. Test a small import first, then set a cutoff for the old file and retain it as a reference.

Worked example: If 'Blue Tee M' and 'T-shirt blue medium' describe the same item, resolve the duplicate before importing it as two different products.

Comparison

Which approach fits your workload?

Compare Excel and inventory software by daily task
TaskExcelInventory software
One person, few movementsOften manageable with a movement log and protected formulas.May add structure, but setup and training still take effort.
Several people updatingRequires disciplined shared editing and reconciliation.Test concurrent updates, access controls and movement history.
Multiple locationsLocation balances and transfers need careful maintenance.Test source, transit and destination quantities on a real transfer.
ReorderingFormulas work if someone maintains inputs and reviews them.Verify alert behavior and which plan includes it.
Keeping access to recordsKeep readable backups and document formulas.Test export formats and fields before committing.
Setup Checklist

A practical setup checklist

  1. Step 1

    Document the current problem

Record discrepancies and correction time. Define what a better process must improve.

  2. Step 2

    Prepare a small test file

Include variants and different pack sizes. Confirm the supported import format before preparing the full file.

  3. Step 3

    Run a complete stock cycle

Receive, sell, return and adjust sample products, then reconcile the ending quantities manually.

  4. Step 4

    Choose one live record

Set a switch date and owner. Avoid maintaining two independently edited stock balances after rollout.

Measures adults making an in-store or online digital merchant payment. It is not the share of all transactions or an India-only figure.

Operational takeaway: Keep the payment method and actual transaction reference with each receipt.

Operational takeaway: Test both scanner decoding and product lookup before depending on a barcode at checkout.

Questions before you choose

At how many products should I stop using Excel?

There is no universal threshold. A small catalog with many simultaneous sales can be harder to maintain than a large catalog with infrequent movements. Judge update workload, errors and reconciliation time together.

Can I keep Excel for analysis?

Yes, with a clear operational source of truth. Confirm export formats and fields before choosing software. Use dated exports for analysis and do not treat an old export as current availability.

Should I import every historical transaction?

Not necessarily. Verified opening balances and archived history may be simpler than importing years of inconsistent entries. Decide what history staff need in the new system and confirm import support first.

How should I compare the cost of switching?

Include subscription, setup, training, devices and ongoing record maintenance. Compare that with the time spent reconciling files and handling preventable errors. A free spreadsheet still requires staff effort.

What should I test before choosing a plan?

Use a small sample of your own products. Record a delivery, sale, return and stock correction, then reconcile the closing balance. Ask which plan includes the users, locations, imports and reports you need. Check current pricing and confirm essential workflows with the team before committing.

What happens if my internet connection drops?

Test connection loss on the devices your staff will use. Do not assume offline entry or automatic syncing is available. Keep a numbered record of movements during an outage, appoint one person to enter them when access returns, and reconcile the entries to avoid duplicates.

Can I use NGN prices and my existing invoice format?

Ask the team to demonstrate NGN display, rounding and your required invoice fields using a sample document. Currency display alone does not confirm that every invoicing requirement is met. Verify the actual output before replacing your current process.

Will it connect to my checkout or online store?

Confirm your exact checkout, store platform and required integration with the team. Test a sale, cancellation and return end to end. Until a connection is verified, decide who records each order and when so items are not sold or deducted twice.
