How My Inventory Items supports this workflow

  • Product identity, units, SKU and barcode fields for stock records.
  • Supplier purchasing records and stock adjustment reasons.
  • Invoices and payment receipts for documented commercial transactions.

A practical workflow to verify

  1. 01

    Identify products precisely

Distinguish strength, dosage form, pack size and supplier in your controlled product list.

  2. 02

    Demonstrate specialist controls

Test batch-level expiry, quarantines, recalls and any required registers against local requirements.

  3. 03

    Reconcile and review

Reconcile quantities and keep expiry, storage and regulated records under a qualified team’s procedures.

FEFO differs from receipt order

Illustrative two-batch comparison. FEFO means first expiry, first out. It is a handling policy, not a claim that the app automates batch selection.

FEFO differs from receipt order: inputs and results
Batch A received1 March
Batch A expires30 September
Batch B received15 March
Batch B expires31 July
Earlier expiryBatch B

Batch B expires earlier despite arriving later. Follow authorized pharmacy procedures and verify that your chosen system can distinguish these batches; aggregate product quantities cannot establish this control.

How to manage pharmacy inventory

Pharmacy stock control requires product identity, supplier records and a documented process for batches, expiry and storage. The requirements below are a selection checklist: confirm specialist functions in a demonstration before adopting any general inventory app.

What a pharmacy inventory system needs to track

A general stock list records only product and quantity. For a pharmacy, each item should also carry:

  • Batch or lot number for every delivery
  • Expiry date per batch
  • Strength, pack size and form (tablet, syrup, injection)
  • Supplier and purchase price per batch
  • Storage needs such as refrigeration
  • Reorder level for each fast-moving or essential medicine

FEFO: first expiry, first out

Most shops use FIFO (first in, first out). Pharmacies should use FEFO — dispense the batch that expires first, even if it arrived later. Batch-level stock records let you see which batch to pick and stop newer stock being sold while older stock expires on the shelf.

Reducing expired stock

Review a separate batch-and-expiry register on a schedule appropriate to your operation. Identify short-dated stock, quarantine expired items and follow supplier agreements and local rules for returns or disposal. Verify expiry reporting and alerts in any proposed system; product-level stock totals alone are insufficient.

Setting reorder points for medicines

A starting reorder calculation is average daily demand × supplier lead time + safety stock. A qualified pharmacy team should set buffers and supply procedures for its own products, service needs and applicable rules. This example is inventory planning, not clinical advice.

Stock counts and record keeping

Count high-value and fast-moving medicines more often with cycle counts instead of one annual stocktake. Record every adjustment with a reason (damage, expiry, return, correction). Controlled and scheduled medicines have extra record-keeping rules that depend on your country — make sure your process and registers meet your local regulations.

Choosing pharmacy inventory software

When you compare systems, test them with a few of your own products and check:

  • Batch and expiry recorded at receiving, not added later
  • Expiry alerts and short-dated stock reports
  • Barcode scanning for fast, accurate receiving and billing
  • Invoicing that reduces stock from the correct batch
  • Purchase orders and supplier history
  • Multi-branch stock if you run more than one pharmacy

medicines in low- and middle-income countries were estimated to fail quality tests in WHO’s 2017 estimate

Low- and middle-income countries · 2017 estimate, restated in 2024

Historical quality-test estimate, not an expiry rate or a pharmacy stock-loss percentage. Inventory records cannot determine medicine authenticity or clinical suitability.

Operational takeaway: Maintain supplier documentation and evaluate traceability requirements with qualified pharmacy staff.

Counts reported pilot countries, not completed deployments. The end-of-2027 goal is an industry ambition, not a universal legal deadline.

Operational takeaway: Test both scanner decoding and product lookup before depending on a barcode at checkout.

Pharmacy Inventory Management Software & System: questions answered

What should a pharmacy check in inventory management software?

Pharmacy inventory management requires accurate product identity, supplier records, batch and expiry controls, and appropriate storage procedures. My Inventory Items provides general product, stock, purchasing and billing workflows. Confirm batch-level expiry, recall traceability and regulated registers separately before choosing it for a pharmacy.

Does My Inventory Items provide drug-interaction alerts or clinical dispensing controls?

The general inventory and billing workflows described here do not establish drug-interaction screening or clinical dispensing support. A pharmacy should evaluate a specialist system and qualified procedures for those needs.

Does an expiry field prove automated batch traceability?

No. Test batch-level receiving, expiry reports, quarantine, recall lookup and sale allocation as separate requirements. A product expiry flag or aggregate stock balance does not prove those workflows.

Is My Inventory Items available on a free plan?

Yes. The current Free plan includes one store and 5 documents per day, with all document types and PDF download and print. Email sharing, thermal printing and barcode labels are paid-plan features. See pricing for current terms.

How much do paid plans cost?

The current Starter plan is INR 299 or USD 4 per month and includes two stores and 25 documents per day. Pro and Business offer higher limits. Use the pricing page to compare currencies, limits and included features.
