List every product once, with a unique SKU, name, category, cost price, selling price and unit. Variants such as size or colour each get their own SKU. A clean list is the foundation — every report depends on it.
Do one full physical count and enter it as your starting quantity. From then on, stock should change only through recorded movements: purchases, sales, returns and adjustments with a reason.
For products you sell regularly, set a reorder point = (Average daily sales × Supplier lead time) + Safety stock. Get a low-stock alert or check a reorder list instead of relying on memory.
Look at total stock value, your best and worst sellers, gross margin by product, and stock that has not moved in 90 days. Those four views answer most buying decisions for a small business.
