Find the right receipt format
A payment receipt acknowledges money received from a customer. It connects the payer, amount, date and payment method to a sale or invoice. For a deposit or installment, it also identifies the remaining balance.
Keep invoice totals, earlier payments and this payment separate. A receipt for part of a bill should show a partial payment status; a cleared final payment can bring the balance to zero.

Illustrative business scenario
The supplied AED design shows 12 laptops at AED 5,299 each: AED 63,588 before a AED 1,200 discount. Its illustrative 5% tax on AED 62,388 is AED 3,119.40, giving an invoice total of AED 65,507.40.
| Invoice total | AED 65,507.40 |
|---|---|
| Earlier allocated payments | AED 32,750.00 |
| Amount received in this receipt | AED 32,757.40 |
| Remaining balance | AED 0.00 |
This receipt acknowledges the final AED 32,757.40 payment, not a second AED 65,507.40 payment. The image uses cheque no. 004418. For an actual cheque, record whether it has cleared before treating the bank balance as settled. The sample date and businesses are illustrative.
Illustrative business scenario
A furniture shop accepts a deposit on a USD 1,200 order. The customer pays USD 300 now; delivery and the remaining payment will happen later.
| Invoice total | USD 1,200.00 |
|---|---|
| Earlier allocated payments | USD 0.00 |
| Amount received in this receipt | USD 300.00 |
| Remaining balance | USD 900.00 |
Issue a deposit receipt for USD 300 and show USD 900 still due. On final payment, create a separate receipt referencing the same order or invoice; do not rewrite the deposit as a full payment.
Illustrative business scenario
A customer pays for an EUR 80 purchase with a EUR 100 note and receives EUR 20 change.
| Invoice total | EUR 80.00 |
|---|---|
| Earlier allocated payments | EUR 0.00 |
| Amount received in this receipt | EUR 80.00 |
| Remaining balance | EUR 0.00 |
The payment allocated to the purchase is EUR 80. Show cash tendered EUR 100 and change EUR 20 separately if needed. Counting the full note as sales revenue would overstate this sale by EUR 20.
Illustrative business scenario
A client pays a GBP 500 service invoice. A payment provider deducts a GBP 10 fee and deposits GBP 490 into the business account.
| Invoice total | GBP 500.00 |
|---|---|
| Earlier allocated payments | GBP 0.00 |
| Amount received in this receipt | GBP 500.00 |
| Remaining balance | GBP 0.00 |
Where the provider confirms the client paid GBP 500 and the business bears the fee, the receipt can acknowledge GBP 500. Reconcile GBP 490 net settlement plus GBP 10 fee to the GBP 500 gross payment; do not automatically show the fee as a customer debt.

Check the receiving account, provider record or cash count. Keep pending transfers and uncleared cheques clearly labeled.

Record the payer, date, currency, amount and reference. Link it to the invoice and calculate the remaining balance.

Save the receipt with the invoice and payment evidence. Send the customer a copy and record later refunds or reversals.
A payment receipt is a document acknowledging an amount received from a payer for a sale, invoice, order or other agreed purpose. It records who paid, who received the payment, the amount, currency, date and payment reference. If only part of an invoice is paid, it should show the remaining balance.
An invoice states what a customer owes for goods or services. A payment receipt records a payment received toward that amount. An unpaid invoice is not evidence of payment; a partial-payment receipt does not mean the whole invoice is settled.
Include a unique receipt number, recipient and payer details, payment date, amount and currency, payment method, invoice or order reference and a description of the payment. Add prior payments, the invoice total, remaining balance and an actual transaction reference when relevant.

Acknowledge only the amount received in this payment. Reference the invoice, show earlier allocated payments separately, and calculate balance due as invoice total minus earlier payments minus this payment, adjusted for any agreed credits or refunds. Label the receipt Partial payment when a balance remains.
Label the payment as an advance or deposit and link it to the relevant order or invoice. Record the amount received and the amount still due. When the final payment arrives, issue another receipt and reference the earlier deposit so the same money is not counted twice.
A screenshot can help locate a transfer, but match the payment against the receiving bank account or provider records before confirming cleared funds. A transfer request, pending transaction or altered image can differ from the final received amount.
A UTR or transaction reference identifies a payment in the relevant banking or payment system. Copy the actual reference from the transaction record and use it to match the receipt to the invoice. It is different from your own receipt number and does not by itself prove settlement.
Distinguish cheque received from funds cleared. You can acknowledge receipt of a cheque while recording a pending clearance status. Confirm the bank settlement before describing the funds as cleared; update your records if the cheque is returned.
A payment acknowledgment and a tax invoice serve different purposes. Whether one document can serve both depends on the jurisdiction, transaction and required fields. The supplied AED design and its sample 5% tax calculation do not establish tax compliance for your business.
The QR code is part of the supplied sample design. This gallery does not provide a live receipt-verification service. For a real verification link, connect it to an authorized receipt record and avoid exposing private bank or customer details.
Keep a record of the original receipt and link a correction, cancellation or refund record to it. Identify the changed amount and reason, and reconcile the refund against the actual outgoing payment. Avoid silently replacing a receipt already shared with a customer.
Enter the payment, invoice reference and payer details, then print or save as PDF.
