An invoice explains what is owed
The invoice identifies the goods or services, quantities, prices, agreed tax treatment and total due. It can also state the payment deadline and instructions. Sending it starts a billing conversation; it does not establish that money has arrived.
For example, a USD 1,200 furniture invoice can remain partly unpaid even after the shop has accepted a USD 300 deposit. The invoice total stays USD 1,200 while the outstanding balance becomes USD 900.
A payment receipt explains what was received
The receipt records a particular payment event, including its date, method and amount. Several receipts can relate to a single invoice. A final receipt should account for earlier payments rather than describing the entire invoice total as money received again.
- Invoice: amount billed and terms.
- Payment receipt: amount received and allocation.
- Bank or provider confirmation: supporting transaction and settlement record.
Link the sale, payment and settlement
Create the invoice or order first, record each incoming payment against it, and issue a receipt for each payment acknowledged. Reconcile the payment with cash counted, bank entries or provider settlement reports.
When a payment provider deducts fees, the amount paid by the customer can differ from the net bank deposit. Keep those figures separate rather than automatically turning the fee into a customer balance.
Common document mistakes
Avoid labeling an unpaid invoice Paid, treating a customer screenshot as a cleared bank entry, or creating a second sale when you record a payment on an existing sale.
A payment receipt may lack fields required for a tax invoice. Review the applicable requirements for your transaction before combining the two document types.
Illustrative business scenario
Furniture order: deposit and delivery balance
A furniture shop accepts a deposit on a USD 1,200 order. The customer pays USD 300 now; delivery and the remaining payment will happen later.
| Invoice total | USD 1,200.00 |
|---|---|
| Earlier allocated payments | USD 0.00 |
| Amount received in this receipt | USD 300.00 |
| Remaining balance | USD 900.00 |
Issue a deposit receipt for USD 300 and show USD 900 still due. On final payment, create a separate receipt referencing the same order or invoice; do not rewrite the deposit as a full payment.
