What to record for a cash payment
Show Cash as the payment method, the receipt number, payment date, payer or sale reference, currency and amount allocated. If your counter process records cash tendered and change, label both clearly.
For an EUR 80 sale paid with an EUR 100 note, the sale payment is EUR 80 and change is EUR 20. The till holds only EUR 80 more after the transaction.
A daily cash reconciliation example
Illustrative shop day: opening float EUR 100 + cash sales EUR 480 − cash refunds EUR 30 − recorded cash expenses EUR 20 = expected closing cash EUR 530. A physical count of EUR 525 leaves a EUR 5 shortage to investigate.
Compare the count with receipt totals and cash movements. Keep card and bank-transfer receipts out of cash-sales totals, and distinguish cash taken out for a bank deposit from an expense.
Refunds and canceled cash receipts
Record a cash refund as an outgoing transaction linked to the original receipt. Keep the original sale and the refund traceable rather than deleting the sale record.
Mark voided or duplicate receipts clearly and keep the reason. A gap in a receipt sequence is easier to explain when the related cancellation record is retained.
Why cash receipts still matter
Cash and digital payments coexist. The ECB’s 2024 consumer study found that cash accounted for 52% of euro-area point-of-sale transactions by number. That figure is specific to the euro area and does not describe every country or the share by value.
A consistent receipt format helps staff use the same fields across cash and electronic payments. A daily count checks the actual cash movement rather than relying on the receipt alone.
Illustrative business scenario
Retail counter: cash tendered and change
A customer pays for an EUR 80 purchase with a EUR 100 note and receives EUR 20 change.
| Invoice total | EUR 80.00 |
|---|---|
| Earlier allocated payments | EUR 0.00 |
| Amount received in this receipt | EUR 80.00 |
| Remaining balance | EUR 0.00 |
The payment allocated to the purchase is EUR 80. Show cash tendered EUR 100 and change EUR 20 separately if needed. Counting the full note as sales revenue would overstate this sale by EUR 20.
