Step 1
Prepare a small, clean product catalog
Start with a representative group of products instead of importing every historical record at once. Give each item a stable SKU and clear unit of measure. Keep cost and selling price separate so reports can distinguish revenue from product cost.
- Choose a unique SKU for each product or variant.
- Record names, units, costs and selling prices.
- Remove duplicate items and discontinued records you do not need.
Step 2
Establish opening quantities and locations
Choose an opening date and count the stock held at each location. Record that baseline before processing later sales, receipts or transfers. A clear cut-off prevents the same purchase from appearing in both opening stock and a new receipt.
- List the storage locations you need.
- Count quantities using the catalog units.
- Document the opening date and resolve unexplained differences.
Step 3
Check a complete purchase-to-payment cycle
Use a small real transaction to verify the workflow. Check a supplier receipt, a customer invoice and its payment against your records. Confirm the available actions in your account rather than assuming a menu name or integration.
- Match received goods to a supplier order.
- Prepare a customer invoice and check its quantities and totals.
- Record payment and reconcile the remaining balance.
Worked example
Example: an opening stock cut-off
You count 40 units at the end of Monday. A delivery of 10 arrives Tuesday. Record 40 as Monday’s opening baseline and the 10 as a later receipt; entering 50 as the baseline and recording the same receipt would double-count it.
Illustrative example; use your own transaction data.
Frequently asked questions
Should I import all products immediately?
Validate a small sample first. Check identifiers, units, prices and opening quantities before applying the same mapping to the full catalog.
What should I prepare before setup?
Prepare product identifiers, units, location names, opening stock quantities, business billing details and the people responsible for maintaining the records.
