Step 1
Gather the details before you begin
You will need your business information, the customer’s billing details and a record of the goods or services supplied. Use the customer’s legal billing name rather than an informal contact nickname.
- Prepare your business name, address and applicable tax details.
- Confirm the customer’s billing contact and address.
- Agree the price, currency and payment terms.
Step 2
Enter the invoice in the generator
Open the free invoice generator linked below. Fill in the available business and customer fields, assign an invoice number, and enter each item with its quantity and price. Check the displayed totals as you work.
- Use a unique reference such as INV-2026-001.
- Enter a specific description and the correct unit price.
- Review discounts, applicable taxes, payment instructions and notes.
Step 3
Review, download and retain the invoice
Read the document as if you were the buyer: can you identify what was supplied, what is due and how to pay? Download the finished document using the generator’s available export action, review the output, then send it through your usual communication channel.
- Compare the invoice against the agreed order.
- Check the downloaded document for complete fields and totals.
- Save the issued copy and record subsequent payments against its reference.
Worked example
Example: your first itemized bill
Three units at 50 each produce a subtotal of 150 in the agreed currency. If no discounts or taxes apply and shipping is 10, the total is 160. This is illustrative arithmetic; determine the actual tax treatment before issuing.
Illustrative example; use your own transaction data.
