Buyer debit notes for purchase returns and shortages

A buyer-issued debit memo commonly requests a supplier adjustment for returns, shortages or overcharges. It is a claim from the buyer’s perspective, distinct from a seller debit that increases an invoice.

By My Inventory Items · Practical document guide

Document the supplier claim

Match the purchase order, supplier invoice and received quantities. Identify the affected SKU, batch, shortage or damage, and the value requested. Keep delivery and inspection evidence with the claim.

Agree the supplier response

Record whether the supplier accepts, rejects or partly approves the claim. Match the supplier credit note to the buyer memo and avoid entering both as separate reductions for the same goods.

Separate goods returns from the payable

Track return dispatch, supplier receipt and acceptance independently. Reconcile the agreed credit with the supplier statement and contract before settling the payable; do not assume a disputed claim is already accepted.

Worked example

A buyer requests £100 net plus £20 illustrative tax for a shortage on a £600 supplier invoice. Once a £120 supplier credit is accepted and posted, £480 remains payable. The claim and the supplier credit represent the same adjustment.

Illustrative arithmetic, not a customer case study.

Frequently asked questions

Does sending a buyer debit memo automatically reduce the supplier invoice?

It documents a claim, not supplier acceptance. Track the dispute and reconcile the agreed credit or other resolution before treating the reduction as settled.

Official sources and scope

The previews use UK-style GBP and VAT details. HMRC sources cover UK invoice adjustments. The GST guide references India’s CGST Act section 34. Commercial buyer claims and supplier tax documents have different roles. Source links checked on 17 October 2026.
