Confirm the supplier adjustment
Compare the original tax invoice with the correct taxable value and tax. Identify the shortfall and the evidence supporting it. A buyer’s memo requesting credit should not be presented as the supplier’s statutory debit note.
Record the transaction details
Capture supplier and recipient identification, document number and date, relevant original invoice details, reason and the value and tax difference. Determine the applicable place of supply and GST components for the actual transaction rather than copying a sample rate.
Reconcile reporting separately from document creation
Link the note to your sales ledger and review current reporting requirements in the official CBIC material. Printing a note does not report it in GST returns or confirm the recipient’s input tax credit eligibility.
Worked example
Illustrative Indian supplier adjustment: ₹1,000 additional taxable value at an assumed 18% GST gives ₹180 additional tax and ₹1,180 total debit. The rate and CGST/SGST or IGST split depend on the actual supply.
Illustrative arithmetic, not a customer case study.
