Debit note format, fields and calculation example

A seller debit note links an increased charge to the original invoice. Give it a unique reference and make the reason and additional amount clear so the customer can reconcile it.

By My Inventory Items · Practical document guide

Identify the issuer and transaction

Include seller and customer names, addresses, applicable tax registration details, note number and issue date. Reference the original invoice number and date. State clearly when the document is a buyer claim rather than a seller charge.

Itemize only the increase

Describe the omitted goods, approved extra work or price correction. Show the quantity or hours, agreed rate, net increase, tax rate and tax amount. Do not re-bill the whole original invoice when only a difference is due.

Keep collection instructions clear

Show the total additional amount and currency. State the applicable agreed payment terms and give a reference for payment. Retain the approval and match subsequent payment to the note and invoice account.

Worked example

The supplied UK preview shows 24 hours × £95 = £2,280 net. Illustrative VAT at 20% is £456, producing £2,736 total debit. That is the added charge, not the original invoice balance.

Illustrative arithmetic, not a customer case study.

Frequently asked questions

Should a debit note have its own number?

Yes. Use a unique note reference and separately identify the original invoice. This preserves the history of the original sale and its adjustment.

Official sources and scope

The previews use UK-style GBP and VAT details. HMRC sources cover UK invoice adjustments. The GST guide references India’s CGST Act section 34. Commercial buyer claims and supplier tax documents have different roles. Source links checked on 17 October 2026.
