Invoice & billing

E-invoicing explained: structured invoices and registration

Electronic invoicing can involve structured data exchange, government registration or both. Start with the format and reporting requirements for your transaction, then confirm that your chosen billing workflow supports them.

Step 1

Understand the difference between a PDF and an eInvoice

The European Commission describes an eInvoice as structured data that can be processed automatically. A visual document such as a PDF helps a person read the bill, but it does not by itself establish a structured invoice exchange.

  • Ask which structured format the recipient accepts.
  • Identify required supplier, buyer and line-item fields.
  • Keep any human-readable copy linked to the structured record.

Step 2

Check registration requirements where they apply

In India, the GST invoice registration workflow reports invoice details to an Invoice Registration Portal, which returns an invoice reference number and QR code. Applicability and reporting deadlines must be checked against current official guidance; other jurisdictions use different systems.

  • Confirm the rules applicable to your business and transaction.
  • Check the required portal or exchange network.
  • Verify that your provider supports the required format and registration workflow.

Step 3

Validate data and retain the response

Check identifiers, document references, dates and amounts before transmission. If the destination rejects the invoice, read its validation message and correct the source data. Keep the accepted response so you can distinguish a prepared invoice from a successfully processed one.

  • Review required fields and reconcile line totals.
  • Resolve validation errors before resubmitting.
  • Retain the transmitted data, acceptance record and invoice copy.

Worked example

Example: a readable invoice with no registration record

A downloaded PDF contains all the visible billing details, but you have no accepted registration response or structured exchange record. Treat it as a document copy and check the required submission workflow before assuming electronic reporting is complete.

Illustrative example; use your own transaction data.

Frequently asked questions

Does a PDF download create an IRN?

No. An IRN is returned by the applicable invoice registration workflow. Creating or downloading a visual invoice does not itself register it.
