Step 1
Define the location and its purpose
Choose a name that staff can distinguish from other sites. Record the delivery address and responsible person. Decide whether the location represents a warehouse, retail shop, storage room or another physical stockholding area.
- Use a clear unique location name or code.
- Record the address and local stock contact.
- Define which products and operations belong there.
Step 2
Establish the opening stock without duplication
Use the location setup action available in your account; exact controls depend on the interface and account access. If stock is physically moving from an existing site, record a transfer rather than treating it as new opening stock in both places.
- Confirm the location options available to your account.
- Count existing stock at a defined opening time.
- Distinguish opening balances from incoming transfers.
Step 3
Verify the first movements and documents
Check a receipt or transfer into the new location and compare the physical quantity with the record. Verify that dispatch and billing records identify the correct source location where your workflow uses it.
- Review the source and destination on the first transfer.
- Confirm receipt at the destination.
- Compare location totals with the business-wide quantity.
Worked example
Example: opening a second warehouse
A main warehouse holds 80 units. You move 20 to the new site. After receipt, the locations hold 60 and 20; the business still holds 80. Adding 20 to the new site without reducing the source would overstate stock.
Illustrative example; use your own transaction data.
Frequently asked questions
Should shelves be separate locations?
Use the level of detail your workflow needs. A shelf can be a bin within a site, while a warehouse or shop may need a separate location record. Keep the naming consistent.
What if I cannot add a location in my account?
Check your account access and available location controls, then contact support with the workflow you need. Avoid creating duplicate product records as a substitute for location tracking.
