Import products from Excel, CSV or OpenDocument

My Inventory Items accepts Excel (.xlsx and .xls), CSV and OpenDocument (.ods) product files up to 20 MB. Use the sample file inside Settings → Import → Products, or upload an existing catalog and match its columns.

Prepare one clean row per product

Keep names, identifiers, units and prices in separate columns. Remove merged headings, subtotal rows and blank spacer rows. Store SKU and barcode identifiers as text before saving the file.

Use a unique SKU for each separately stocked variant.
Check decimal separators and use one pricing currency for your setup.
Do not use a PDF, screenshot or app backup as a product spreadsheet.

Use the current in-app sample file

The upload screen provides a sample workbook with example rows and a second sheet listing available columns. Download that file from your account so you start with the importer’s current field definitions.

Replace sample rows with your products.
Confirm the sheet and header row after uploading.
Use a small representative batch before uploading the remaining catalog.

From your old catalog to your new product list

Upload, match columns, review, then import. These screens show the product import workflow in My Inventory Items.

Step 1

Upload your product file

Open Settings → Import → Products. Upload Excel (.xlsx or .xls), CSV or OpenDocument (.ods), up to 20 MB.

Step 2

Match columns

Choose the sheet and header row. Inspect automatic matches and example values. Set unused columns to Don’t import.

Step 3

Review products and duplicates

Check the preview and problem counts. Choose Skip them, Update them or Add as new for existing products. Save a reusable mapping if needed.

Step 4

Import and verify

Confirm the import and keep the tab open while it runs. Review the completion counts, then open Products to check the saved records.

Product fields to check before importing

These are preparation checks, not a replacement for the current sample file and field list in your account.

Name	Use a clear product name; the matching screen marks Name as required.
SKU and barcode	Preserve leading zeros and keep one stable identifier per separately stocked product.
Category, brand and unit	Use consistent names and confirm whether quantities mean pieces, cartons or another unit.
Selling price and purchase price	Match the right cost and sales columns; review sample values and decimal formatting.
Tax and opening stock	Use the current sample file for available fields. Check the stock date and location before importing quantities.

Verify the result before importing the rest

After the first batch, check the added, updated, skipped and problem counts. Open Products and compare a sample of names, SKUs, barcodes, units, prices and opening quantities with your source file. Fix any mapping issues before continuing. Undo can remove added records that have not been used; it does not restore updates to existing products.

Frequently asked questions

When are product records saved?

The workflow separates upload, column matching, review and import. Review the preview and confirm the import before the uploaded rows are saved as product records.

How should I check a completed import?

Review the added, updated, skipped and problem counts, then open Products. Compare names, identifiers, units, prices and any mapped opening quantities with the source spreadsheet.

Which product import formats are supported?

The product upload screen accepts Excel (.xlsx and .xls), CSV and OpenDocument (.ods) files up to 20 MB.

Is this a direct connection to my old software?

This workflow transfers a file you upload. It does not provide continuous synchronization or automatically sign in to the other software.

What happens if a product already exists?

Products are matched by SKU, then barcode, then name. During review, choose whether to skip existing records, update them or add new records. Blank cells keep old values when updating.

Can I undo a product import?

Undo removes records added by an import when they have not been used since. Records used since are kept. Updates to existing records are not changed back.
