QuickBooks Online product migration

Import products from QuickBooks Online to My Inventory Items

To move products from QuickBooks Online to My Inventory Items, prepare an item-level spreadsheet, open Settings → Import → Products, upload it, match its columns, review the preview and confirm the import. This is a file-based catalog transfer; it does not continuously sync the two systems.

Prepare your QuickBooks Online product file

Intuit documents exporting QuickBooks Online lists and reports to Excel, including products and services. Use the product list rather than an invoice report to prepare your catalog.

Source: Intuit QuickBooks Online export documentation

  • Keep an untouched copy of your export.
  • Use Excel (.xlsx or .xls), CSV or OpenDocument (.ods), up to 20 MB.
  • Choose one row per separately stocked product or variant.

Check the details specific to QuickBooks Online

Separate physical inventory products from service entries. Review product names, SKUs, sales prices and costs independently. Account mappings, journal entries and historical balances are outside this product-catalog guide.

  • Keep SKU and barcode values as text to preserve leading zeros.
  • Keep purchase price, selling price and quantity in separate fields.
  • Exclude account balances and report totals from product rows.

From your old catalog to your new product list

Upload, match columns, review, then import. These screens show the product import workflow in My Inventory Items.

Step 1

Upload your product file

Open Settings → Import → Products. Upload Excel (.xlsx or .xls), CSV or OpenDocument (.ods), up to 20 MB.

Step 2

Match columns

Choose the sheet and header row. Inspect automatic matches and example values. Set unused columns to Don’t import.

Step 3

Review products and duplicates

Check the preview and problem counts. Choose Skip them, Update them or Add as new for existing products. Save a reusable mapping if needed.

Step 4

Import and verify

Confirm the import and keep the tab open while it runs. Review the completion counts, then open Products to check the saved records.

Product fields to check before importing

These are preparation checks, not a replacement for the current sample file and field list in your account.

Product import fields and validation checks
FieldCheck
NameUse a clear product name; the matching screen marks Name as required.
SKU and barcodePreserve leading zeros and keep one stable identifier per separately stocked product.
Category, brand and unitUse consistent names and confirm whether quantities mean pieces, cartons or another unit.
Selling price and purchase priceMatch the right cost and sales columns; review sample values and decimal formatting.
Tax and opening stockUse the current sample file for available fields. Check the stock date and location before importing quantities.

Verify the result before importing the rest

After the first batch, check the added, updated, skipped and problem counts. Open Products and compare a sample of names, SKUs, barcodes, units, prices and opening quantities with your source file. Fix any mapping issues before continuing. Undo can remove added records that have not been used; it does not restore updates to existing products.

Frequently asked questions

Can I import a QuickBooks Online export without renaming all columns?

The My Inventory Items importer lets you match source columns to its product fields. Check the automatic matches, select the correct sheet and header row, and ignore columns you do not want to import.

Does this transfer my entire QuickBooks Online account?

This guide covers product records and mapped product fields. Customers, suppliers and past documents have separate import sections. Do not assume accounting balances, attachments, batches or every historical record are included.

Which product import formats are supported?

The product upload screen accepts Excel (.xlsx and .xls), CSV and OpenDocument (.ods) files up to 20 MB.

Is this a direct connection to my old software?

This workflow transfers a file you upload. It does not provide continuous synchronization or automatically sign in to the other software.

What happens if a product already exists?

Products are matched by SKU, then barcode, then name. During review, choose whether to skip existing records, update them or add new records. Blank cells keep old values when updating.

Can I undo a product import?

Undo removes records added by an import when they have not been used since. Records used since are kept. Updates to existing records are not changed back.

Ready to bring over your product list?

Open My Inventory Items, then go to Settings → Import → Products to upload your prepared file.
