Confirm the reason qualifies
HMRC’s validity guidance covers genuine mistakes, overcharges and agreed reductions that give value to the customer. It excludes credit notes issued for bad debt. See the linked HMRC conditions before treating a document as a VAT adjustment.
Link the VAT adjustment to the invoice
Use the document details in VAT Notice 700 section 18, including invoice references and the relevant amounts. Check the treatment of the original supply, especially when more than one VAT rate or a special scheme applies.
Complete the records and reporting
Retain the original invoice, credit note and evidence of the agreed change. Check the current issue timing and VAT reporting requirements in the official guidance. Generating a PDF does not submit an adjustment to HMRC.
Worked example
An agreed £100 net reduction at an illustrative 20% VAT creates £20 tax credit and £120 total credit. This example assumes the original supply used that rate; it does not establish the rate for another transaction.
Illustrative arithmetic, not a customer case study.
